The Coach Manager Quotation and Pricing System combines a sophisticated but easy to use price calculator with a quotation management system designed for the rapid input, storage and retrieval of private hire quotations. The system is included as standard with both Coach Manager Express and Coach Manager.

The price calculator makes it easy for sales staff to consistently and accurately calculate prices for the hire of vehicles under a wide range of varying circumstances, at different times of the year, for destinations both near and far.

The system allows price periods to be created that denote the end of one year's prices and the start of the next. Each price period can be split up into any number of price bands, colour-coded on a year view calendar, that allow different price levels such as low, standard or high to be assigned to individual dates.

User definable pricing scheme titles are used to denote different types of work such as local, between schools or continental. Each pricing scheme can have an unlimited number of user definable rates titles for each chargeable item that is to be applied when calculating a price. For example a local hire might be based on miles and hours, whilst a continental hire might be based just on days.

The rates to be charged are entered into a hierarchical data grid arranged by price period, pricing scheme, vehicle size and type, price band and rate title. Each rate can be modified by a minimum or maximum value or can carry an inclusive quantity.

When calculating a price the system automatically applies all the predefined criteria. The only input required is the date, the pricing scheme (local, continental etc.), the vehicle size and type and the number of hours, miles or days as appropriate.

The system can also use Microsoft MapPoint to automatically calculate all the required inputs. MapPoint can quickly calculate accurate distances and travelling times for any UK or European journey and can even, if required, break them down into loaded and empty values.

Having calculated the price the system can prepare a written quotation for the client. This can be printed out for sending by post, or be faxed or emailed automatically by the system. Emails can also include a 'terms and conditions' attachment. Quotations are automatically stored for subsequent retrieval by a range of different criteria.
